Finance AI & business intelligence

Your figures, clear.The decisions, yours.

For business owners, managers and finance teams: we automate the repetitive work around invoices and bank statements and bring the data together in clear reports and dashboards. The tools support your finance team and your accountant; they do not replace licensed accounting or regulated financial advice, and they do not guarantee decisions.

The financial data exists. We bring it together, on time, in one place.

Invoices arrive by email, in SPV (the online portal of ANAF, the Romanian tax authority) or on paper, bank statements in another format, and sales in another app. By the time everything is pulled into a report, the month is long over.

  • Manual invoice entry

Someone copies the supplier, date, amounts and VAT from every document. The work is slow and typing errors are inevitable.

  • Reconciliations that take days

Matching payments on the statement against invoices issued or received is done line by line, in Excel.

  • Reports rebuilt from scratch every month

The same tables, the same formulas, the same exports, rebuilt by hand every time.

  • Indicators scattered across several systems

Margin, cash flow and sales by product sit in different apps, so nobody has the full picture.

  • Anomalies discovered too late

A duplicated invoice or an unusual expense only comes to light at month-end close or during an inspection.

An assistant for financial work, not a replacement for it

Business intelligence (BI) means bringing data from several sources together into reports and dashboards that clearly show how the business is doing. Finance AI adds automatic document reading, suggested classifications and flagging of unusual values. We use AI to read documents, structure data and prepare analyses, and people validate the result. The solutions we build support financial work; they are not licensed accounting services or regulated financial advice, and they do not guarantee that a decision is correct. Bookkeeping entries and tax returns remain the responsibility of your accountant.

  • Data extraction from documents

Invoices, receipts or contracts are read automatically, and the key fields are structured for review and import.

  • Assisted classification and reconciliation

The system suggests the category of an expense or the match between a payment and an invoice, and a person confirms or corrects it.

  • Unified data model

We bring data from invoicing, banking, sales and other sources into one place, with clear update rules.

  • Automated dashboards and reports

The indicators you track update themselves, and recurring reports are generated and sent at the agreed interval.

  • Forecasts, scenarios and warning signs

Models that estimate possible trends based on historical data and mark unusual values for human review.

What the finance team can gain

  • 01

    Less time spent typing

Automatic extraction can reduce the amount of data entered by hand, so the team can move from copying to checking.

  • 02

    More predictable month-end closes

With reconciliation prepared in advance, month-end discussions can focus on exceptions rather than on hunting for documents.

  • 03

    A single source for indicators

Management can see the same up-to-date figures, without different versions of the same Excel file.

  • 04

    Early signals

Unusual values can be flagged during the month, so they are checked while the context is still fresh.

  • 05

    Scenarios discussed on data

Forecasts and simulations can provide a starting point for discussions about budgets, prices or stock.

The benefits are possible, not guaranteed. They depend on the quality and consistency of the data, the systems used, the volume of documents and the review process your team keeps in place.

Where it could be used in practice

The examples are conceptual scenarios that illustrate possibilities. They are not implementations delivered by WEB-AZ and do not include measured results.

  • Accounting firms

    Pre-processing documents received from clients

Documents sent by clients are read and structured automatically, and the accountant receives a batch ready for review instead of a folder of PDFs.

    Conceptual example
  • Distribution

Margin by client and by product

Data from invoicing and purchasing is combined in a dashboard that shows the real margin, updated daily.

    Conceptual example
  • Retail

    Weekly report sent automatically

Sales by store, stock levels and the main expenses are pulled into a short report sent to managers every Monday.

    Conceptual example
  • Manufacturing

    Flagging unusual supplier invoices

The system compares unit prices with historical data and marks large differences, and the purchasing manager decides whether it is an error or a price increase.

    • Recurring financial reporting
    • Report automation and distribution
    • Smart dashboards for management
    • Custom reports by department

How we build the financial workflow

  1. Step 01

    Inventory of data sources

We identify where the documents and figures come from, in what format and who works with them today.

  2. Step 02

    Rules and checkpoints

Together with the finance team and the accountant, we agree what a person checks, which approvals are needed and what is not automated.

  3. Step 03

    Connecting the systems

We check API or export access to the invoicing, banking and sales apps and build the connections.

  4. Step 04

    Testing on real documents

We run the workflow on a representative batch, compare the results with manually checked data and refine the rules.

  5. Step 05

    Launch with parallel checking

For a while, the automated process and the existing one run in parallel, so the team can build confidence in the results.

  6. Step 06

    Ongoing adjustment

We add new suppliers, indicators or reports as needs change.

We work with the data in the apps you already use

Most companies already have the data; it's just in different places. Here are some of the systems we can assess for integration:

The availability of APIs, exports and access rights differs from one system to another and is checked for each project.

  • e-Factura SPV, where applicable
  • SmartBill
  • Oblio
  • Saga
  • Excel
  • Google Sheets
  • Power BI
  • Looker Studio
  • PostgreSQL and MySQL databases
  • CSV and MT940 bank exports
  • ERPs via API or export
  • Online stores: WooCommerce, Shopify
  • Google Drive and email for incoming documents

Security & control

Control, traceability and human approval

Financial data is sensitive, and decisions based on it have consequences. That's why every workflow has clear checkpoints and a record of what has changed.

  • Role-based access

Each user sees only the data they need, and access keys for the financial apps are stored separately and securely.

  • Audit log

We record which document was processed, which values were extracted, who changed them and who approved them.

  • Human approval before anything takes effect

No entry reaches the accounts and no payment is initiated without confirmation from an authorised person.

  • A clear role for the tools

The tools assist financial work. They do not replace your licensed accountant, auditor or financial adviser, and they do not give investment recommendations.

Frequently asked questions

  1. What is business intelligence for a small or medium-sized company?

Business intelligence means having your key figures (sales, margin, expenses, receipts) pulled together automatically from the apps you use, in an up-to-date dashboard or report. You don't need a large system: you can start with a single recurring report that you currently build by hand.

  2. Does this system replace my accountant or accounting firm?

No. The tools prepare and structure the data, but they are not licensed accounting services. Bookkeeping entries, tax returns and professional responsibility stay with your accountant, who can work more easily with data that is already organised.

  3. Are the forecasts financial advice?

No. Forecasts and scenarios are statistical estimates based on historical data and can be wrong. They are not regulated financial advice and do not guarantee results; decisions remain with the management team.

  4. How accurate is invoice data extraction?

It depends on the quality of the documents, their format and the variety of suppliers. Structured invoices, such as those from RO e-Factura (Romania's national e-invoicing system), are processed more reliably than scans. Fields with low confidence are marked for human review.

  5. Can you retrieve invoices from SPV?

Where applicable and with the necessary authorisations, invoices from e-Factura in SPV (ANAF's online portal) can be a data source. The exact access method and its limitations are checked at the start of the project.

  6. Does it work with SmartBill, Saga or Oblio?

These are apps commonly used in Romania, and we can assess them as data sources or destinations. What can be done in practice depends on the APIs, exports and versions available, which we check for each project.

  7. Where is the financial data stored?

We choose the location together, for example your own infrastructure or a cloud provider with data centres in the European Union, with restricted access and encryption. Where the AI provider allows it, we configure the services so that your data is not used to train their models.

  8. What affects the cost and duration?

The number of data sources, the volume and variety of documents, how complex the reports are and the level of review required. We recommend starting with a limited first workflow, after which the estimate for the rest becomes more accurate.
