Bookings made clear,guests made welcome.

WEB-AZ builds digital and AI solutions for restaurants, hotels, guesthouses and agritourism: assistants that answer guests in their own language, bookings taken over the phone at busy times and event requests prepared as a brief. Your team looks after the guests in front of them.

Where a restaurant, hotel or guesthouse can save time

  • Messages from every channel, in one place

Phone, WhatsApp, Instagram, Facebook, email, plus messages from Booking.com and Airbnb. The same guest sometimes writes on two channels; answers drawn from the same approved information stay consistent.

  • Menu and allergen information from the kitchen's recipe sheets

“Does the soup contain celery?”, “Do you have anything gluten-free for my child?”. Recipe sheets validated by the kitchen, easy to find, support the waiter, while final confirmation stays with the staff.

  • Event requests structured from the first message

Weddings, christenings, birthdays or corporate dinners start with “how many people can you seat?” and continue with many messages about the menu, decorations, deposit and schedule. A guided form gathers the details into a clear brief.

  • Foreign guests, welcomed in their own language

Tourists ask in English, German or Italian about parking, late check-in, pets or the way to the guesthouse. A multilingual assistant answers from the house rules, even if not everyone on the team speaks every language.

  • Reviews monitored across all platforms

Google, Booking.com and TripAdvisor gather opinions that deserve a thoughtful reply. Grouped by topic, with a draft reply for the manager, reviews reach the right person in time.

  • Seasonal staff up to speed faster

In summer, new people arrive who need to learn procedures quickly, and the shift rota is redone whenever occupancy changes. An internal assistant and shift proposals based on bookings make both easier.

Use cases · Hospitality

Conceptual examples, designed to show what is possible. They are not delivered projects.

  • Restaurant: Friday evening

Between 19:00 and 21:00 the phone rings non-stop. The voice agent takes bookings for small groups and enters them in the booking register. Large groups and allergen questions are transferred to a waiter or noted for a call back.

    Conceptual example
  • Agritourism: foreign guests

A couple from Germany asks on WhatsApp whether they can bring their dog and how to get there along the forest road. The assistant answers in German from the house rules and the directions written by the host, and the booking request goes to the owner.

    Conceptual example
  • Hotel with an event hall: a wedding request

The couple enter the date, the estimated number of guests and their menu preferences. The events manager receives a structured brief, ready for the first meeting, and still prepares the quote and the contract.

The systems behind reception and the kitchen

Hospitality uses many separate applications, and a useful solution has to respect them. The examples below are possibilities; compatibility is checked for each project.

  • Booking.com and Airbnb
  • Channel manager, for syncing availability
  • Hotel PMS (property management system)
  • Restaurant POS systems
  • Table booking platforms
  • Google Business Profile and TripAdvisor
  • WhatsApp Business API, Instagram and Facebook Messenger
  • Invoicing software such as SmartBill

Integration challenges

  • Many PMS and POS systems do not offer an open API, or offer it only on certain plans.
  • The menu changes often, and the assistant's information is correct only if someone updates it with every change.
  • Availability split across several channels can lead to overbooking if syncing is not done correctly.
  • Seasonal staff come and go, so access to systems must be granted and revoked in an orderly way.

Guest safety and data protection

  • Allergens are confirmed by staff

Allergen information is mandatory under EU food information rules for consumers and must come from recipe sheets validated by the kitchen. The assistant does not guarantee the absence of traces and passes sensitive questions to a team member.

  • Guest data, including health information

An allergy or dietary restriction mentioned when booking can be health information. It is requested only if necessary, used strictly for service and not kept longer than needed.

  • Genuine reviews

We do not generate reviews and do not reply automatically on your behalf. Suggested replies are approved by a person, and review invitations are sent to all guests, not only the satisfied ones.

  • Newsletters and offers

Seasonal offers or event invitations are sent only to guests who agreed, with a simple unsubscribe option in every message.

Frequently asked questions

  1. Which AI solutions suit a restaurant or a guesthouse?

A multilingual assistant that answers guests on the website, WhatsApp or Messenger, phone bookings taken when reception is busy, a knowledge base for staff, reviews grouped by topic with draft replies, shift proposals and a website with direct booking. Allergen information and event confirmation stay with the team.

  2. Can the assistant answer questions about allergens?

It can show the allergen list from the recipe sheets approved by the kitchen and always states that the guest must confirm with the staff. For severe allergies, the conversation goes straight to a person.

  3. How is guest data protected?

Data stays in your systems, with role-based access and retention periods we agree together. Guests are told what data is collected and why, and health information is handled separately.

  4. Does it connect to Booking.com or my channel manager?

It depends on what each platform offers for integration. We check at the start what can be connected directly and what remains manual, before any commitment.

  5. Won't I lose the warmth of the service if an assistant replies?

The assistant handles only the repetitive questions and the moments when nobody is free. You set the tone, and guests can always ask to speak to someone on the team.

  6. Where do we start?

We look at which questions you get most often and on which channel. A good first step is usually an assistant for practical questions or taking bookings at busy times.
