Salons, spas, aesthetic clinics, gyms

A salon diary that’s full, with no missed calls.

WEB-AZ builds digital and AI solutions for salons, spas, aesthetic clinics and gyms: bookings taken over the phone, reminders, answers to frequently asked questions and digital client records. Everything to do with treatment is decided by your team.

Where a salon or wellness centre can save time

  • Calls answered even during a treatment

There is no reception, or it is busy taking payment, and the beautician cannot leave a client with a face mask on to pick up the phone. A call answered automatically becomes a booking in the diary, not a number to call back.

  • Fewer no-shows and gaps in the diary

An empty hour in a long treatment slot means a specialist’s time goes unused. Confirmations sent in good time and a waiting list help the freed-up slot get filled again.

  • Answers in the evening too, on Instagram and WhatsApp

Clients ask in the evening, “Do you have anything on Saturday?” or “How long do lash extensions take?”. An instant reply, drawn from the salon’s own information, helps them book while they are still keen.

  • Digital records and consent forms

Allergies, previous treatments and consent to procedures often sit in folders at reception. In digital form, with restricted access, they are easy to find on the second visit and properly protected.

  • Before-and-after photos, with consent on record

Photos often live on someone’s phone in the team. A clear record shows who has agreed to publication on social media and who only to filing in their record.

  • Clients who come back at the right time

Treatment courses, gym memberships and manicure upkeep depend on a message sent at the right moment. Scheduled automatically, the message goes out without depending on a quiet day at reception.

  • A salon with four specialists and a single phone

Calls missed during working hours are picked up by a voice assistant that makes the booking in the salon’s calendar. Unusual requests, such as a bride with her whole bridal party, reach the manager as a message.

    Conceptual example
  • An aesthetic clinic with paper records at reception

The patient fills in the questionnaire and consent form via a link before the visit. The doctor sees the answers at the consultation and alone decides whether the procedure is suitable; the system only organises the documents.

    Conceptual example
  • A fitness studio with expiring memberships

A few days before expiry, the member receives a message with the renewal options. Anyone who replies with a question about a trainer or the timetable is picked up by reception.

Integration with your booking platform

Many locations already work with a booking platform. We connect to it where it offers an API or official integrations; compatibility is checked for each project before any promise is made.

  • Fresha
  • Booksy
  • Google Calendar
  • WhatsApp Business
  • Instagram and Meta Business Suite
  • Google Business Profile
  • Brevo or Mailchimp
  • SmartBill
  • Stripe

Integration challenges

  • The diary is kept in parallel in a notebook, on the platform and on the specialists’ phones, so the first step is a single source of truth.
  • Some booking platforms offer limited data access through their API, which can restrict what can be automated.
  • The list of services, durations and prices is often out of date, and an assistant that answers from it needs clean data.
  • Clients message a specialist’s personal number, which no system is allowed to access, nor should it.

Data, consent and limits we take into account

  • Health information in the client record

Allergies, medical conditions or dermatological treatments are special category data. We collect them only if necessary, with restricted access, and do not use them for marketing.

  • Separate consent for photos

Filing before-and-after photos in the record and publishing them online are two different consents. The system records them separately and allows them to be withdrawn at any time.

  • Marketing messages only with consent

Reminders for a booking that has been made are one thing; promotional offers by text message or email are another and require explicit consent, in line with GDPR and the rules on electronic communications.

  • No treatment recommendations from AI

The assistant does not assess skin, recommend procedures or answer questions about contraindications. These stay with the specialist or the doctor, and final compliance is checked together with your legal adviser.

Frequently asked questions

  1. Which AI solutions suit a beauty salon or a spa?

Bookings taken over the phone by a voice assistant, messaging replies from information approved by the salon, reminders and a waiting list, digital client records and consent forms, and a website with online booking. Questions about skin, health or contraindications always go to the specialist.

  2. Can I keep the booking platform I use now?

As a rule, yes. We check what your platform allows through integrations or its API and build around it. If access is too limited, we tell you openly what is and is not possible before we start.

  3. What happens to clients’ data and photos?

We agree together where they are stored, who can see them and how long they are kept. Health data and photos have restricted access, and the providers used are chosen and configured for GDPR-compliant processing.

  4. Won’t it feel cold to our clients?

We write the tone of the messages with you, in the salon’s style. The assistant states clearly that it is automated and hands the conversation to a person whenever the client asks or when the question falls outside what it is allowed to answer.

  5. Does it work for a gym or a spa too, not just salons?

Yes, the logic is similar: memberships, classes with limited places, treatment rooms. The rules and systems differ, so we configure them for each type of location.

  6. Where is a good place to start?

Usually where time can be saved fastest: missed calls or no-shows. We do a short analysis of how bookings come in now and choose a small first step that is easy to measure.
