Phone bookings

The diary, filled by phone. No double bookings.

An AI voice assistant for bookings handles appointment requests by phone: it checks free slots in the calendar in real time, suggests options, records the appointment and sends the confirmation. Rescheduling and cancellations go into the same calendar, and special cases reach the team.

Phone bookings are made with the calendar in one hand and the call in the other

For every booking, someone has to open the calendar, find a slot, agree it with the customer and note the details correctly. When the phone rings while that person is with another customer, the booking is postponed or lost, and note-taking mistakes lead to double bookings.

  • Free slots are hard to see when there are several specialists or resources
  • Bookings noted by hand sometimes end up with wrong or incomplete details
  • Rescheduling and cancellations leave gaps in the diary that nobody fills
  • Customers who call in the evening cannot book until the next day

Who it makes sense for

  • Clinics, practices and medical centres with diaries across several specialists
  • Salons, beauty centres and studios with short appointment slots
  • Car repair shops and workshops that schedule jobs by duration and resources
  • Consultants and offices that work by appointment only

What the voice assistant does for bookings

  • 01

    Checking availability

Looks for free slots in the calendar, taking into account the service duration, the specialist and breaks.

  • 02

    Suggesting options

Offers two or three slots close to the customer's preference, not a long list that is hard to follow on the phone.

  • 03

    Recording the booking

Creates the appointment with the customer's name, phone number, service and any notes.

  • 04

    Written confirmation

Sends the date, time, address and what the customer needs to bring by SMS or email.

  • 05

    Rescheduling and cancellations

Finds the existing appointment, moves or cancels it and frees up the slot in the calendar.

  • 06

    Reminders before the visit

Can send a reminder before the appointment, through the channel the customer has agreed to.

What the assistant needs: calendar and rules

  • Access to the calendar or booking system you use, with read and write rights
  • The list of services, with the duration of each and the specialists or resources required
  • Booking rules: breaks, buffer times, services that cannot be booked by phone
  • The cancellation and rescheduling policy communicated to customers
  • Templates for confirmation and reminder messages

Control and transparency

Where a person decides

  • Bookings for services that require a prior assessment are confirmed by staff
  • Medical, technical or pricing questions beyond the approved list are transferred to the team
  • Exceptions to the cancellation policy are decided by a person, not the assistant
  • Duration and availability rules are updated by the team when the schedule changes

Limits and operating conditions

  • It works best with a single, up-to-date calendar; bookings recorded elsewhere are not visible to the assistant
  • Dates, times and names can be misheard on the phone, which is why the assistant repeats them before saving
  • The voice is synthetic, and conversations may involve small misunderstandings; the written confirmation helps the customer check the details
  • Complex situations, such as several consecutive services with different specialists, may need a person
  • It does not give medical or technical advice and does not decide which service the customer needs

How we measure booking quality

We agree the indicators together before launch and track them afterwards. The values depend on the process, the data and the volume.

Correct bookings in the calendar
A sample compared by the team with the call transcript: date, time, service and contact
Double bookings or conflicts
Counted from the calendar and analysed by cause
Bookings completed without transfer
From the call log, relative to the total number of booking requests
No-shows after confirmation
Tracked by the team in the calendar, compared with the period before

How we implement automated phone bookings

  1. 01

    The diary rules

We note the services, durations, specialists and all the exceptions you apply to bookings today.

  2. 02

    Connecting the calendar

We connect the assistant to the calendar with minimal permissions and test creating, moving and cancelling appointments.

  3. 03

    Test with the team

Colleagues call a test number and try the most difficult situations they encounter every day.

  4. 04

    Gradual launch

We start with some of the services or with calls outside office hours, then expand after review.

Use cases

The scenarios below are conceptual examples, built to illustrate what is possible. They do not describe implementations delivered by WEB-AZ.

  • Rehabilitation clinic

    Sessions across several physiotherapists

The patient asks for a session on Tuesday afternoon, the assistant finds the therapists' free slots and records the booking; the first assessment is still confirmed by reception.

    Conceptual example
  • Beauty salon

Rescheduling in the evening, after hours

A client calls at 9 pm to move her appointment, the assistant offers options for the following week and frees up the old slot.

    Conceptual example
  • Tyre service

    Bookings during the changeover season

The assistant takes into account the number of available bays and the duration of the changeover, then sends a confirmation with the address and time.

Frequently asked questions

  1. What is an AI voice assistant for bookings?

It is an automated assistant that answers the phone when a customer wants to book, move or cancel an appointment. It looks for free slots in the connected calendar, records the booking and sends a written confirmation. Confirmation calls before the visit are covered by the AI voice agent for outbound calls.

  2. Does it work with the calendar we already use?

If your booking system has an API or an available integration, usually yes. At the start we check which operations it allows: reading, creating, editing, cancelling.

  3. What happens if the assistant is not sure which slot the customer chose?

It repeats the date and time and asks for explicit confirmation before saving. If the uncertainty remains, it does not create the booking but takes the details so a colleague can get back to the customer.

  4. How is customer data handled?

The caller is told they are speaking to an automated assistant and whether the call is recorded. The assistant collects only the data needed for the booking, and access and the retention period are agreed together. For clinics, we discuss the rules for medical data separately.

  5. Can it avoid double bookings between specialists?

It can check the availability of each specialist or resource before suggesting a slot, provided that all bookings are kept in the connected calendar.

  6. Can customers speak to a person if they prefer?

Yes. The assistant says from the start that it is automated, and the caller can ask for a colleague at any time. If nobody is available, the assistant takes the details so the team can get back to them.
