AI agent for sales
AI agent for sales:less admin.
The AI sales agent is an assistant that handles the preparation around every sale: it gathers the client's context from the CRM, proposes the quote and the follow-up draft, and completes the client record. The salesperson reads, adjusts and decides what goes to the client.
Your salespeople spend too much time on everything around the sale
Before every quote, someone looks up the client's history, checks prices and terms, copies data from an email into the CRM and writes from scratch a message almost identical to last week's. The time left for real conversations with clients shrinks, and opportunities go cold while they wait.
- Quotes are built by hand from price lists, previous quotes and scattered notes
- Follow-up depends on each person's memory and gets postponed when the diary is full
- The CRM stays incomplete, so reporting and client handovers are hard to do
- Answers to repetitive questions about products and terms eat up hours every week
Who it is for
- B2B sales teams that send many tailored quotes based on a price list and a set of discount rules
- Distribution or manufacturing companies where sales reps lose time entering data into the CRM after every conversation
- Service companies where follow-up after a meeting or a sent quote is irregular or forgotten
- Sales managers who want an up-to-date CRM without asking colleagues for another hour of admin a day
What the AI sales agent does
- 01
Prepares the draft quote
It starts from the client's request, the approved price list and the discount rules, and proposes a structured quote, ready for review.
- 02
Proposes follow-up messages
After a quote is sent or a meeting takes place, it suggests the timing and wording of the next message, tailored to what was discussed.
- 03
Completes the CRM record
It extracts contact details, stated needs and next steps from emails and notes, and proposes them for updating the record.
- 04
Drafts answers to questions
It writes answers to questions about products, lead times or commercial terms, using only approved documentation.
- 05
Summarises the client's context
Before a call, it gathers the order history, open quotes and latest interactions on a single page.

Control and transparency
What stays in human hands
- Every quote or message to a client is sent only after the salesperson approves it
- Discounts above the agreed threshold and special terms require the manager's confirmation
- Significant CRM changes (opportunity stage, value, a lost client) are validated by a person
- Negotiation strategy and the client relationship remain the sales team's decision
Limits and how we manage them
- It works with what is written down: phone calls and meetings enter its context through notes or summaries saved in the CRM
- The quality of the quotes depends on how up to date the prices and commercial rules in the connected sources are
- It can get a technical detail or a term wrong, which is why no quote goes out without review
- It does not replace knowledge of the client relationship: the salesperson adjusts the tone and priorities
How we measure the quality of prepared quotes
We agree the indicators together before launch and track them afterwards. The values depend on the process, the data and the volume.
- Share of drafts accepted without major changes
- We compare the agent's draft with the version actually sent, on a sample reviewed by the team.
- Accuracy of prices and terms in quotes
- We check the proposed quotes against the current price list and discount rules.
- Time to prepare a quote
- We measure the interval between the request and a quote ready to send, before and after the pilot.
- Completeness of CRM records
- We track the mandatory fields completed and corrected by salespeople during the test period.
- Adherence to scheduled follow-ups
- We compare the proposed follow-ups with those actually sent and the reasons for any delay.
How we implement the sales agent
- 01
Sales process analysis
We map a quote's journey, the data sources, pricing rules and the points where time is lost.
- 02
Setting up sources and rules
We connect the CRM and the price list with minimal permissions and write the approval rules.
- 03
Pilot with a small team
A few salespeople use the agent on real requests, and every draft is reviewed and scored.
- 04
Rollout and monitoring
We adjust the templates based on feedback, extend to the rest of the team and track the agreed indicators.
Use cases
The scenarios below are conceptual examples, not delivered implementations.
- Building materials distribution
Fast quotes for contractors
The agent reads the material lists received by email, matches the catalogue codes and proposes a quote with the client's category prices, which the sales rep checks.
Conceptual example - B2B IT services
Follow-up after demos
After each demo, the agent summarises the notes, proposes the next steps in the CRM and drafts an email with the promised resources.
Conceptual example - Industrial equipment
Context before a visit
Before a client visit, the agent prepares a summary of the equipment delivered, open quotes and the latest service requests.

Frequently asked questions
Does the agent send quotes to clients on its own?
Not in the setup we recommend. The agent prepares the draft and the salesperson approves it before it is sent. We can discuss exceptions only for simple messages, with strict rules that you set.
What happens to client data from the CRM?
The agent only gets access to the fields it needs, through accounts with limited permissions, and every action is logged. Together we decide where the data is processed and which model providers are used, in line with GDPR requirements.
What does the agent do when it is unsure about a price or a term?
It explicitly flags the missing or unclear information in the draft and leaves it for the salesperson, rather than filling it in from assumptions.
Does it work with the CRM we already use?
Most popular CRMs have APIs that allow integration. We check the specific compatibility during the analysis stage, before any commitment.
Does the agent replace the sales team?
No. It takes over the repetitive preparation and admin work, so salespeople have more time for conversations, negotiation and client relationships.
How is it different from the lead qualification agent?
The qualification agent works at the start of the journey: it talks to new contacts, scores them against your criteria and passes them to the right salesperson. The sales agent steps in after that, for clients and opportunities already in progress: quotes, follow-up and keeping the CRM updated.
What do we need to get started?
Access to the CRM, the current price list and discount rules, and a few model quotes and messages validated by the team. We agree on these during the sales process analysis, before the pilot.
